Job Description

Northern Lights College is seeking a mature, reliable, and versatile secretary to fill this excluded position. The confidential secretary will provide administrative and secretarial support to the offices of the Vice-President, Finance/Corporate Services and the Vice-President, Academic and Research, and may occasionally be required to assist the Executive Assistant to the President and the Board of Governors.

This support will include providing background information, proposals and reference material for meetings, arranging meetings, reviewing mail and determining routing or background material needed, preparing correspondence, memos, reports and documents for signature.

This role will also arrange all travel arrangements for the Vice-Presidents; schedule all appointments; assist with program reviews when necessary; and will act as the liaison with internal departments and external groups on behalf of the departments, to share information and to ensure follow-up by relevant personnel on emergent issues.

Qualifications:

The Confidential Secretary must have superior organization and communication skills and be able to multi-task to deal with competing demands and priorities. They must also have experience in an administrative support capacity (e.g. ability to coordinate travel arrangements).

The successful candidate will have completed a recognized Office Administration program and have a minimum of five years of general office experience in a union environment, or an equivalent combination of education and experience.

There is an expectation that the candidates will be proficient in all aspects of Microsoft Office. Experience in recording official minutes at meetings, preparing agenda and meeting packages would be essential. The selection process will include the successful completion of a clerical test.

This position also requires the successful candidate to hold a current / valid driver’s license.
