Job Description

Position Purpose and Summary

The Admissions Assistant receives and processes domestic and international inquiries and applications for admission into the University. Admissions duties involve verifying and validating supporting documents; admitting applicants; and processing deposits. The Admissions Assistant also performs clerical support functions such as routine data entry, data verification of student information, updating lists/forms, creating correspondence, and performs other duties related to admissions as required. Key Areas of Accountability • Oversee data entry and record maintenance for students, relationships, and organizations in the admissions funnel, including record creation and correction. • Process applications, admissions decisions and related fees; maintain and update student application and admission information; produce routine correspondence; and update the Admissions team as to student status and additional follow-up. • Evaluate applications for admission and related documentation, as assigned by the Manager, Admissions Data Services. • Authenticate official documents for North American and International applicants according to established procedures and guidelines. • Keep current regarding updates or changes to evaluation procedure or Admission requirements as outlined in the University calendar or directives given by the Manager, Admissions Data Services. • Complete all mail inquiry, acceptance, confirmation, and rejection packages, problem solve associated issues including returned mail and email. • Maintain a high level of departmental and University confidentiality regarding all databases, student and other records. • Assist in a variety of seasonal projects and task as determined by the Manager, Admissions Data Services to assist with seasonal peaks of work load. • Understand and work within the dynamics of the Admissions Data Services and Enrolment Management group and ensure that the team’s purpose is achieved. The Person Skills and Abilities • Excellent organizational skills. Strong computer skills, including word processing, and familiarity with large databases. Proven multi-tasking and time management skills. Accurate keyboarding skills at 60 wpm. • Work well in a high-volume environment and fulfill the demands of the position at peak periods (eg. application deadlines and registration periods). Exercise tact, discretion, good judgement, and diplomacy. Effectively work with and manage relationships with staff, faculty, and students in a tactful, pleasant, and helpful manner. Requirements Education:

Two years’ post-secondary training or equivalent experience required. Experience: 1-2 years required in office settings which includes administrative responsibilities. Experience in an academic/admissions setting and experience with international cultures is an asset.
