Key Responsibilities:
· Diarizing critical dates – formal zoning, early termination conditions, occupancy date· Project specific communication requirements – condo doc revisions, floorplan changes, delay notices· Contract related requests – amendments to the purchase agreement, family assignments, extensions· Attend Builder Forum meetings hosted by Tarion at the Greater Toronto Home Builders Association to maintain lines of communication with Tarion Representatives and demonstrate commitment to customer satisfaction and review with General Service Manager as required· Post Firm Sale Introduction/welcome letter· Field questions about financing requirements, start date, adding family members, etc.· Move up/Accelerations – coordinate with construction regarding achievable date
· Attend weekly meetings for updates on lot specific progress
· If acceleration is granted, draft paperwork and coordinate signatures between client and GG
· Update internal team when paperwork is completed, update system with new closing date
· Inform lawyer’s office and send signed paperwork, request lawyer’s info from client if closing is
· Responsible for Purchaser requested delay check with decision maker whether extension is granted
· If closing is 1 month+, draft and coordinate signing of paperwork
· Update internal team when paperwork is completed; update system with new closing date
· Inform lawyer’s office and send signed paperwork
· Closing is within 1 month, coordinate with lawyer’s office re: terms of extension
· Update internal team when paperwork is completed; update system with new closing date
· Construction delays
· Check for compliance with Tarion rules
· Format and send letters
· Update internal team, lawyer’s office and system with delayed dates
· Floorplan changes
· Assignments/Name Changes – validating and qualifying new purchasers on title
· Amendment to purchase price – after décor appointments
· Delinquent deposits/coordination with sales & finance – follow up with client through emails, phone calls, setting deadlines etc.
· Coordinating land item complaints – transformers, fencing, hydro
· Legal Coordination – defaults, closings, amendments
· Parking and locker allocation – involves reviewing all deals for pricing / location of unit and allocating equitably
· PDI schedule changes
· 3rd party Assignment coordination with lawyers – check for all requirements ie. mortgage approval, ID
· Missing/incorrect items in home during construction- Mailing addresses – mail retrieval/key coordination
- Upcoming project info requests from past purchasers
- Design appointment deadlines/coordinating contacting purchasers
- Purchaser updates in Newstar/DB – delinquent deposits, address changes, occupancy dates/closing dates
- Accounting Discrepancies – deposits, NSF, pricing info, upgrades
- Fielding inquiries of First Looks (pre-pandemic), developing with team first looks for hirise
- Coordinate and conduct Occupancy Day Procedures
- Efficiently complete all necessary documentation and reports
- Work closely with construction, trades and all other personnel and assist teams where/when needed to ensure deficiencies are completed and signed off in a timely manner
- Assisting Purchasers with all Tarion Warranty related inquires and concerns
- Customer service focused with the ability to resolve problems effectively
- Exceptional interpersonal skills with a high level of professionalism
- Parking/Locker Allocation
- Provide reports to MCAP, Rogers, Bell, hydro, Carma etc.
- Handle all incoming (including telephone) inquiries from Homeowners or their Representatives
Qualifications:
- 3 years to 5 years Customer Care experience with a low-rise builder
- Knowledge of Tarion’s pre closing guidelines:
- Unavoidable Delays
- Statutory Tarion delay periods
- Tarion delay compensation costs
